Accounts Assistant

Department: Finance
Reporting To: Finance Manager

Company Structure

The Emirates Literature Foundation was established in 2013 following a Royal decree from His Highness Sheikh Mohammed bin Rashid al Maktoum, UAE Vice President, Prime Minister, and Ruler of Dubai. The Emirates Airline Festival of Literature is part of ELF, with Isobel Abulhoul as CEO.


To be a part of the Finance department and maintain the book of accounts for the “Emirates Literature Foundation” and its subsidiary.

Key Responsibilities

Collaborate with Finance Manager and other team members to successfully execute various accounting tasks:

    • Record day-to-day financial transactions and maintain accounts as per the guidelines issued by International Accounting Standards (IAS).
    • Record project-wise entries in the accounting software for project reporting.
    • Contact the bank for the monthly credit card statement, gather all the receipts/ invoices and record transactions in the accounting software.
    • Arrange petty cash for office and staff when required. Handle and Maintain proper petty cash records if required.
    • Check accuracy of staff claims as per the Company’s internal policy.
    • Maintain a proper record of inventory and reconcile the stock with the warehouse/ distributors on regular basis.
    • Maintain Fixed asset files and record project-wise assets where applicable.
    • Prepare the royalty payments as per the agreements.
    • Assist in preparing monthly bank reconciliations for all local and Foreign currency bank accounts.
    • Prepare quotations & invoices for the customers.
    • Follow up on the invoices from the Suppliers.
    • Prepare LPOs and record vendor invoices in the accounting Software.
    • Assist in getting the approval for the invoices internally from the relevant department and preparing Vendor payment details accordingly. Send proof of the payment to the beneficiaries once the payment is processed.
    • Identify discrepancies in ledgers and accounts, track them to the source and notify the line manager.
    • Assist in the monthly closing of accounts.
    • Assist in preparing reports for the executive committee and Board.
    • Assist in preparing online ticket sale reconciliation reports when required.
    • Assist in preparing ticket sale reconciliation reports during the festival for cash and credit card at the box office.
    • Assist with preparing Project costings, departmental budgets and reporting.
    • Assist with preparation of documents for VAT and Corporate tax returns.
    • Assist with annual Company and Project audits.
    • Proper filing of the documents.
    • Stay updated with the current accounting practices and any changes to the International Accounting Standards.
    • Protect the Foundation’s value by keeping all information confidential.

Qualification and Experience

    • Bachelor’s degree in Accounting or related field. Professional Qualification is a plus.
    • Knowledge of International Accounting Standards & International Financial Reporting Standards.
    • Minimum 2-3 years experience in a similar role.
    • Ability to interpret and analyze financial statements
    • Fluency in Microsoft Office suite (Outlook, Advanced Excel, Word, PowerPoint, etc.)
    • Experience in project accounting andreporting.
    • Experience in dealing with companies providing payment gateway in terms of online and credit card sales.
    • Hands-on experience with accounting software like QuickBooks. Experience in Zoho and SAP is a plus.
    • Experience in auditing.
    • Analytical thinker and problem solver.
    • Attention to detail and a high level of accuracy.
    • Proficient written and verbal communication skills in English.
    • Ability to work independently and as a team member.
